Please take the time to read and understand the conditions of booking set out below prior to booking a trip with us. We strongly recommend that you also read the Essential Trip Information relating to your trip prior to booking to ensure that you understand the itinerary, style and physical demands of the trip you are undertaking.
You must carry a valid passport and have obtained all of the appropriate visas, permits and certificates for the countries which you will visit during your trip. Your passport must be valid for 6 months beyond the duration of the trip. It is your responsibility to ensure that you are in possession of the correct visas, permits and certificates for your trip; please refer to the Essential Trip Information for details. We are not responsible if you are refused entry to a country because you lack the correct passport, visa or other travel documentation.
Due to TSA Secure Flight requirements, the names of all travelers on your booking must be supplied exactly as they appear on each travelers’ passport, including titles such as Jr. or Sr. and any multiple first, middle or last names. If inaccurate information is provided, airlines may charge penalties to make corrections or deny boarding, and some countries may deny you entry. Any changes in names or passport information should be reported to us immediately. Any name changes after you complete your booking and any changes in passport information after your final payment may result in additional fees. For some packages, you must send color copies of each travelers’ passport photo/signature page within 24 hours of your booking or with your final payment, whichever is earlier. If we do not receive this promptly, your reservation may be subject to additional fees and/or cancellation.
VISAS : Travel visas are required for many countries visited on our packages. Please see the passport & visa requirements. you must check the requirements to obtain your own visa. Ultimately, it is the responsibility of every traveler to determine passport, visa and entry requirements and comply with them and to secure the proper travel documents. Please review the requirements carefully so that you can obtain all necessary documents well before your trip. Requirements are subject to change, often without notice, and we suggest you verify requirements with the relevant embassy or consulate. We will not be held responsible for any charges, trip interruptions, or cancellations due to incorrect or missing visas.
DEPOSITS : A deposit or pre-paid voucher is required to guarantee your booking, which will be applied towards the cost of your package. Deposits vary by package, and some departure cities, flight selections, and/or departure dates may require a different deposit. Please check the package page or start a booking to find out the required deposit. If you request an upgrade or service, we’ll let you know if it requires an additional deposit. Deposits are generally non-refundable, except in rare cases when we cannot confirm all components of a booking.
Prices & Surcharges : Our trip prices are subject to variable and seasonal pricing, both of which are standard practice within the travel industry. This means our trip prices may vary at any time in accordance with demand, market conditions and availability. It is likely that different passengers on the same trip have been charged different prices. Your best option if you like the price you see is to book at that time. Any reduced pricing or discounts that may become available after you have paid your deposit will not apply. If you wish to cancel your booking to take advantage of a cheaper price, full cancellation conditions apply. Prices are based on currency exchange rates as of Travel Agency Rate; note that prices may vary depending on which currency the booking is made. We reserve the right to impose surcharges up to 56 days before departure due to unfavorable changes in exchange rates, increases in airfares or other transportation costs, increases in local operator costs, taxes, or if government action should require us to do so. In such instances we will be responsible for the any amount up to 2% of the trip price and you will be responsible for the balance. If any surcharge results in an increase of more than 10% of the trip price you may cancel the booking within 14 days of notification of the surcharge and obtain a full refund. Air Passenger Duty is included in the price of your air inclusive trip. Please note that a surcharge may be applied to all purchases made by credit card.
Cancellation by The Traveller :
If you cancel some or all portions of your booking cancellation fees will apply. A cancellation will only be effective when we receive written confirmation of the cancellation. If you cancel a trip:
Note that different cancellation conditions apply to some trips and additional services. Your booking consultant will advise if differences apply. Please note that for certain travel arrangements the cancellation charge may be higher than those shown. In certain cases, a 100% cancellation fee applies as soon as the booking is made, and the ticket is issued. You will be advised of different cancellation charges at time of booking. You are strongly advised to take out cancellation insurance at the time of booking which will cover cancellation fees. If you leave a trip for any reason after it has commenced, we are not obliged to make any refunds for unused services.
If you fail to join a tour, join it after departure, or leave it prior to its completion, no refund will be made. The above cancellation fees are in addition to fees which may be levied by accommodation providers, travel agents or third-party tour and transport operator fees.

OTHER CHANGES : In many cases, we can customize your package, including changing your departure city and departure or return dates. Ask us when you book, in the special requests section, if your desired change is possible. If so, we’ll respond with a quote, which is valid for a limited time. Such changes may be subject to a per-person, per-change fee by keiffel travel, in addition to any vendor fees (see below), which will be listed in your quote. Once a change has been quoted and confirmed, it is subject to the same cancellation policy that applies to your package. Less than 10 days prior to departure, we generally cannot make any changes to your booking except cancellation.
Cancellation by Us :
Our trips are guaranteed to depart once they have one fully paid traveller unless minimum group size specifically states otherwise. We may cancel a trip at any time prior to departure if, due we don’t have enough customers for the specific group, terrorism, natural disasters, political instability or other external events it is not viable for us to operate the planned itinerary. If we cancel your trip, you can transfer amounts paid to an alternate departure date or receive a full refund. In circumstances where the cancellation is due to external events outside our reasonable control refunds will be less any unrecoverable costs. We are not responsible for any incidental expenses that you may have incurred as a result of your booking including but not limited to visas, vaccinations, travel insurance excess or non-refundable flights.
Age & Health Requirements :
A minimum age at the time of travel applies to many of our trips – please see specific Essential Trip Information for details. For the majority of our trips we have no upper age limit though we remind you that our trips can be physically demanding, and passengers must ensure that they are suitably fit to allow full participation. All travelers under the age of 18 must be accompanied by a legal guardian, or in lieu of a legal guardian, by an escort over the age of 18, appointed by their legal guardian. The legal guardian or their designee will be responsible for the traveller under the age of 18 day to days care. Please note, families must upgrade from dorm-share accommodation to private rooms where applicable. We cannot guarantee triple or joining rooms for families; accompanying adults may be required to share with others in the group on a twin share basis.
Travel Insurance :
Travel insurance is mandatory for all our travelers and should be taken out at the time of booking. Your travel insurance must provide cover against personal accident, death, medical expenses and emergency repatriation with a recommended minimum coverage of Rs 500 000 for each of the categories of cover. We also strongly recommend it covers cancellation, curtailment, personal liability and loss of luggage and personal effects. You must provide your travel insurance policy number and the insurance company’s 24-hour emergency contact number on the first day of your trip; you will not be able to join the trip without these details. If you have travel insurance connected to your credit card or bank account please ensure you have details of the participating insurer, the insurance policy number and emergency contact number with you rather than the bank’s name and credit card details.
Your Details :
In order for us to confirm your travel arrangements you must provide all requested details with the balance of the trip price. Necessary details vary by trip; they include but are not limited to full name as per passport, date of birth, nationality, passport number, passport issue and expiry date and any pre-existing medical conditions you have which may affect your ability to complete your travel arrangements. On some more demanding trips we also require you to complete and forward a Self-Assessment form. Failure to provide requested details may result in additional charges or non-refundable cancellation of your trip.
Acceptance of Risk :
You acknowledge that the nature of the trip is adventurous, and participation involves a degree of personal risk. You will be visiting places where the political, cultural and geographical attributes present dangers and physical challenges greater than those present in our daily lives. We use information from government foreign departments and reports from our own contacts in assessing whether the itinerary should operate. However, it is also your own responsibility to acquaint yourself with all relevant travel information and the nature of your itinerary. You acknowledge that your decision to travel is made in light of consideration of this information and you accept that you are aware of the personal risks’ attendant upon such travel.
Claims & Complaints :
If you have a complaint about your trip please inform your group leader or our local representative at the time in order that they can attempt to rectify the matter. If satisfaction is not reached through these means, then any further complaint should be put in writing to us within 30 days of the end of the tour on khejihad@yahoo.com
Change of Itinerary :
While we endeavor to operate all trips as described we reserve the right to change the trip itinerary. Please refer to our WhatsApp group before departure for the most recent updates to your itinerary. before departure: If we make a major change, we will inform you as soon as reasonably possible if there is time before departure. The definition of a major change is deemed to be a change affecting at least one day in five of the itineraries. When a major change is made you may choose between accepting the change, obtaining a refund of money paid on the land portion of the trip only or accepting an alternative tour offered.
After Departure: We reserve the right to change an itinerary after departure due to local circumstances or events outside of our control. In such emergency circumstances the additional cost of any necessary itinerary alterations will be covered by you. Please note we are not responsible for any incidental expenses that may be incurred as a result of the change of itinerary such as visas, vaccinations or non-refundable flights.
Optional Activities :
Optional activities not included in the trip price do not form part of the trip or this contract. You accept that any assistance given by your group leader or local representative in arranging optional activities does not render us liable for them in any way. The contract for the provision of that activity will be between you and activity provider.
Flexibility :
You appreciate and acknowledge that the nature of this type of travel requires considerable flexibility and you should allow for alternatives. The itinerary provided for each trip is representative of the types of activities contemplated, but it is understood that the route, schedules, itineraries, amenities and mode of transport may be subject to alteration without prior notice due to local circumstances or events.
Small Groups & Combination Trips :
At times we can have groups with small numbers of travelers. Many of our trips are designed to fit with other departures to create a longer “combination” trip; this means that some of your group may have already been travelling together for some weeks when you commence your trip. If you would like to know how many people are booked on your trip or any combination trip it is part of please ask prior to making your booking.
Authority on Tour :
Our group trips are run by a group leader. The decision of the group leader is final on all matters likely to affect the safety or well-being of any traveller or staff member participating in the trip. If you fail to comply with a decision made by a group leader or interfere with the well-being or mobility of the group, the group leader may direct you to leave the trip immediately, with no right of refund. We may also elect not to carry you on any future trips booked. You must always comply with the laws, customs, foreign exchange and drug regulations of all countries visited, and you also agree to travel in accordance with our responsible travel guidelines. The tour leader has the rights to expel you from the group if bad behaviors is notice. And it’s not refundable.
Flight :
Most of our tours & packages include flights by scheduled carriers from one or more designated cities.
For some packages, we may be able to arrange flights from other cities for an additional cost; see the package page or ask us when you reserve for details, prices and availability.
For most packages, we reserve flights after you reserve, and we issue tickets after we receive your final payment. However, in some cases, we may need to issue tickets sooner, and we will notify you if this is the case. After tickets are issued, they generally become non-refundable and unchangeable, and any change affecting your flights usually requires the purchase of new airfare.If your package includes flights (or offers add-on flights, and you select these), we will send your flight schedule after we issue your tickets. If you request flights from another city, we will research the best options and send you a tentative flight schedule and quote for your approval. Flights generally cannot be booked more than 300 days prior to travel. For departures more than 300 days in the future, we book flights once they become available. Otherwise, we generally book flights and issue tickets after we receive final payment. We recommend you confirm your flight schedule with the airlines before booking any connecting flights and 72 hours prior to departure. Airlines may change flight schedules at any time without prior notice, even after flights have been confirmed. We are neither responsible nor liable for any costs resulting from a change in airline schedules. This includes but is not limited to change or cancellation penalties incurred for tickets, international or domestic, not issued by KEIFFEL TRAVEL; additional nights of hotel before, during, or after one of our packages; and additional airport transportation.
LAND ONLY OPTION :
Some packages may also offer a “land-only” option without flights. If you select this option, you must arrange your own flights and are responsible for meeting our group at the first city or port, and the terms below regarding flights do not apply.
AIRPORT TAXES & FEES AND FUEL SURCHARGES : Are included in the advertised price for any package which includes airfare. If some taxes & fees cannot be prepaid, we’ll notify you to pay them directly to local authorities.
CABIN UPGRADES : Included airfare is in coach or economy class. Business class or premium economy may be available upon request for an additional fee.
BAGGAGE : Most of our tours & packages allow one checked bag per person, not to exceed 44 pounds, and one carry-on bag per person, which must fit in an overhead bin or under a seat. Certain packages may have additional restrictions depending on the airline and limitations of the motor-coach, ship, etc. You will receive specific baggage allowance information with your final documents, or you may review our Airline Baggage Allowances page, which has information for our various carriers. If you exceed the baggage limits, you may be subject to excess baggage charges assessed by the airlines. We are not responsible for lost or damaged luggage.
ADVANCE SEAT RESERVATIONS : Airlines typically assign seats when you check in, within 24 hours of departure. Most of our airline partners allow seat reservations earlier than this, but some charge fees for this service in economy class. When advance seat reservations incur a fee, these requests must be made and confirmed directly with the airline, rather than through KEIFFEL TRAVEL.
SPECIAL MEAL REQUESTS : You may enter special meal requests when you complete your online registration, shortly after booking. We will relay your requests to the airlines, but we cannot guarantee they will be honored. Please confirm meal requests with the airlines 72 hours before departure.
MILEAGE PROGRAMS : Some flights offered on our packages may not be eligible for frequent flyer mileage programs due to our specially negotiated group rates. Please consult directly with your frequent flyer program for eligibility. We are neither involved in nor responsible for crediting miles.
ACCOMMODATION : Our land packages generally include hotel accommodations. Cruise packages always include cabins. Advertised package prices are based on per person double occupancy rooms or cabins. Single, triple or quadruple occupancy rooms or cabins may be available upon request, but availability cannot be guaranteed. We usually try to reserve rooms or cabins with two beds, but sometimes only one bed is available. Special requests (bedding, smoking preference, etc.) are subject to availability and confirmation by the hotel or cruise line.With your final travel documents, you will receive a detailed list of all accommodations on your package, including hotel addresses, telephone & fax numbers. Sometimes due to causes beyond our control, it is necessary to change the hotels or cruise ship used on your package, but we always do our best to ensure that substitutes meet or exceed the quality and location of the original. In many cases, the choice of hotels is based on the opinions of local operators, and we are not responsible for the quality or location of these accommodations.Hotel may charges additional service fees or tourism fee , which will be paid by the customer .
Extended Stays : On some packages, you may be able to extend your stay later than the regularly scheduled dates—ask us about arranging for modified flight dates, extra hotel nights and/or transfers. Extended stays are subject to availability and will incur a fee of Rs 3000 per person plus the cost of additional services. Certain restrictions apply. Ask us about price and availability when you reserve, in the special requests section, and we’ll give you a quote.
MATERIALIZATION: Many of our packages require a minimum number of passengers to operate. In the unlikely event that we cancel a specific departure due to lack of participation, we will notify all confirmed passengers prior to the final payment due date, and offer alternate dates of travel or a full refund. Please do not purchase any domestic connecting flights, or other services which are dependent upon the operation of your trip, until this time.
ITINERARIES: We make every effort to ensure our tours run smoothly and trouble-free, according to the posted itineraries. However, international travel is complex, and we reserve the right to modify our itineraries as we deem necessary to keep everything running comfortably. Please refer to the latest version of your itinerary on our website prior to travel, which we will also send you with your final documents 14 days prior to departure. The planned itinerary is representative of the types of accommodations, transport and activities planned, but the actual itinerary, including route, schedules, amenities, modes of transport, and other items, may still be subject to alteration or substitution without prior notice. In these cases, we will make every effort to ensure the changes result in an equivalent or better experience for our travelers, but we will not be held liable for any damages or penalties related to these alterations.
In rare cases, due to circumstances beyond our control (see Our Responsibility. below), and for the comfort, safety and well being of our travelers, it may become necessary to make major changes to our itineraries, including omitting certain destinations or segments of a tour (such as a cruise), or even to cancel a departure entirely. If and when this occurs, we will inform you as soon as soon as reasonably possible. We will also make every effort to obtain refunds from our suppliers for the unused services, which we will refund to you. However, it may not be possible to obtain refunds from all suppliers (especially for ticketed flights) and we cannot guarantee a refund of your entire package price.
We also reserve the right to cancel a specific booking or remove a specific traveler, prior to departure, at our own discretion. In this case, you will be offered a full refund of all monies paid to KEIFFEL TRAVEL, but we will not be liable for any other damages (such as for connecting flights).
Your Responsibilities :
By making travel reservations on our website or purchasing any travel services offered by Keiffel Travel Ltd., you warrant that (i) you are at least 18 years of age and have the legal authority to create a binding legal obligation; (ii) you will only make reservations for you or other people for whom you are legally authorized to act; (iii) you accept and agree to all the Terms & Conditions presented herein; (iv) you will inform such other persons about the Terms & Conditions that apply to the reservations you make on their behalf, and warrant that they accept and agree to those Terms & Conditions; and (v) all information supplied by you for the purposes of making a reservation is true, accurate, current and complete to the best of your knowledge.During travel, you must at all times comply with the laws and regulations of all countries visited.
AGE RESTRICTIONS : On most of our tours & packages, you must be 18 or older to make a booking, and your traveling companions must be 8 or older at the time of travel, except on departures designated as “family-friendly”. Some packages have different requirements; see the package page or contact us for details. Travelers under 18 years must be accompanied by an adult 21 years or older.
TRAVELERS WITH DISABILITIES OR DIFFICULTIES : Our packages often feature sightseeing excursions which may involve strenuous activities such as hiking moderate distances, walking up steps or over uneven surfaces, ascending to high elevations, or traveling in small boats. It is the responsibility of travelers to determine if they are in sufficient physical condition to comfortably undertake the requirements of each tour. If you’re uncertain, please contact us to discuss.
Travelers requiring any type of special assistance must notify us of their requirements at the time of booking and must be accompanied by a companion who will be responsible for providing all necessary assistance. Our representatives are not able to assist with these services. Please note that our coaches are generally not equipped to handle wheelchairs.
JOINING A TOUR: If you purchase a package that includes flights and/or transfers, you are expected to make all necessary arrangements and allow enough time to embark on these flights or transfers. If you miss your flights or transfers, please contact us without delay. If you purchase a package that does not include flights or transfers, you will be responsible for making your own way to the starting point of the package (usually the first hotel listed in the itinerary), as per the instructions which we will gives you . If for any reason, you are unable to make it to the starting point on time, please contact us without delay.
In these cases, we will make all reasonable efforts to assist you in making alternate arrangements to join your tour, but you are responsible for any extra costs incurred, and no refunds will be issued for unused services.
TOUR MANAGERS: On our escorted group tours, you’ll be accompanied by a professional tour manager, who is an authority on the destination, and responsible for the safety and well being of our travelers and the smooth operation of the tour. The decisions of the tour manager are final on all matters likely to affect the safety or well-being of all travelers participating in the trip.
PARTICIPATION: On our group tours, you’ll of course be traveling with a group of strangers, and this can sometimes be challenging, especially in a foreign country. To avoid any discord within our groups and to provide our travelers with a positive touring experience, we reserve the right to reject or remove any traveler whose behavior is determined to be incompatible with the group. If you fail to comply with a decision made by one of our tour managers, interfere with the well being or mobility of the group, or are deemed to be fractious to the group, at the sole discretion of KEIFFEL TRAVEL LTD and/or our tour managers and representatives, we may ask you to leave the tour. In this case, we will not refund any portion of the package cost, and all expenses incurred by the termination of the touring program are your responsibility. We may also elect not to carry you on any future trips booked.
PERSONAL EFFECTS & LOCAL PURCHASES : You are responsible for safeguarding your luggage, camera, and other personal effects, including any items purchased while on tour. We are not responsible for lost or stolen personal items.
We make every effort to give you an opportunity to browse local shops and stores, time permitting. Some itineraries include scheduled stops at specialty stores or factories, where you can view a demonstration of a local craft or purchase merchandise. If you decide to purchase these or any other items while on tour, you are responsible for those purchases—we are not responsible for the quality or authenticity of these items. It is always a good idea to comparison-shop, and to thoroughly inspect all merchandise before leaving the store or shop, as most stores will not permit you to return or exchange purchased items. Prices may not include shipping/handling fees or customs charges. We are not responsible for the delivery or receipt of any item you purchase while traveling.
Our Responsibilities :
KEIFFEL TRAVEL LTD arranges these packages only as agent for the companies and services we represent. In the absence of our own negligence, we shall not be responsible for any cancellations, delays, diversions or substitution of equipment, or any act or omission whatsoever by air carriers, hotels, transportation companies, or any other persons providing any of the services and accommodations to passengers, including any results thereof, such as changes in services or accommodations necessitated by same. Nor shall we be liable for any loss or damage to baggage or property, or for injury, illness, or death, or for any damages or claims whatsoever arising from loss, negligence or delay from the act, error or negligence of any person not our direct employee or under our exclusive control. We are not responsible for any criminal conduct by third parties.
We accept no responsibility for accidents, damage, baggage losses, delays and/or accidental expenses due to weather, strikes, acts of God, acts of governments or authorities, wars, terrorism, criminal acts committed by third parties, hostilities, civil disturbances, riots, strikes, sickness, quarantine, defects of vehicles or breakdown in equipment, or to the fault or default of any company used for carrying out these packages. Regarding any and all services and accommodations furnished, we expressly disclaim all responsibility or liability over any matter whatsoever for loss, damage, injury or expense to property or person due to any cause whatsoever occurring during the duration of the package or otherwise. All such losses or expenses will be borne by the passengers.
The airline, rail, coach and ship companies concerned are not to be held responsible for any act, omissions or events during the times that passengers are not aboard their aircraft or conveyances. The passage contract in use by the airlines concerned, when issued, shall constitute the sole contract between the airlines and the purchasers of this package or passengers.
The international carriage of passengers is subject to international conventions and treaties, where applicable. These international agreements limit and, in some events, exclude the carrier’s liability to passengers. Where any claim or part of a claim (including those involving death or personal injury) concerns or involves any travel arrangements (including the process of getting on or off the transport concerned) provided by any air, sea, inland waterways, rail, or road carrier or any stay in a hotel, our maximum liability is the maximum which would be payable by the carrier, or the hotel keeper concerned under the applicable international convention, treaty, or regulation applicable to the travel arrangements or hotel stay (for example: the Warsaw Convention, the Montreal Convention for international travel by air etc.) in that situation.

Rates quoted strictly for minimum number of persons as per request above, if less or any reduce no of person the rate will be different, or trip can be postponed.
Price is subject to any surcharge including peak season surcharge /weekend / public holiday surcharge, or flight hotel price change. Confirmation is subject to availability of both hotels / land transfer arrangements.
